Employee Return to Onsite Work IT Checklist

As SMPH IT customers begin their phased return to campus, it is time to start making preparations. We have provided important IT information to help staff transition back to onsite work

IT Equipment and Setup

Technical Support Coordination

As it took time to get set up at home, it may take some time to get set up in the office again. Please coordinate plans with your manager first then SMPH IT in advance if you anticipate needing assistance with setting up devices back in the office. Please give us as much advance notice as possible due anticipated high demands.

Equipment Order Delays

Dell monitors and laptops are seeing significant delays of up to 3 months or more. Please plan accordingly when ordering equipment for SMPH staff and/or reach out to SMPH IT for additional assistance.

  • SMPH has a very limited supply of loaner equipment for short-term use. 
    • Things to consider for equipment delays 
      • If a new employee is replacing a former employee, re-purpose the former employee’s equipment until new equipment arrives 
      • For laptop users, consider temporarily splitting up dual-display setups and use 1 monitor and laptop display for the second screen as a solution. 

Web Conferencing

  • When using your laptop for web conferencing, the laptop already has a built-in webcam and microphone.  The laptop will need to be open to use the built-in webcam and microphone – be sure to check display and sound settings before joining your meeting.  A headset is a good idea to cut down on noise distractions, laptop microphones can pick up CPU fan and other noises.  
  • Desktop computers do not come with a built-in microphone or camera. When using your desktop computer for web conferencing you will need a webcam if you plan on joining with video. The webcam will have a built-in microphone A headset is a good idea to cut down on noise distractions.  

Data Storage

  • Data saved on the local computer (desktop, documents, downloads) is not backed up – even if that local computer is an SMPH issued laptop that you have been using remotely.  To ensure the safety of your data, we recommend backing up to your SMPH Network drives nightly. 
  • If you have been using a personal computer, please upload your data and documents to a secure storage location (SMPH Network drives or UW Madison Box)  
  • For managed Windows computers your network drives should be mapped automatically when you are on a wired network connection. You may need to restart your computer to reestablish network drive mappings.
