IIT Staff Meeting – Recruitment Process, Stay Interviews and Org Chart

Thank you very much to everyone who attended the IIT Staff Meeting this Monday (8/28/23). This meeting outlined the upcoming recruitment processes for IT Service Line Director Placements, shared more information about the what and why’s of stay interviews, and unveiled the proposed future state IIT organizational chart. We greatly appreciate your questions and engagement in this first meeting as a part of our incredible, unified IIT team.   • 29 min What will happen to staff that applies and transitions to a Service Line Director role in terms of department workload backfill?
  • 30 min What is the current number of people doing end-user help desk support? What is the current number of people doing system administration?
  • 34 min Is there any concern with the siloing of service lines around specific technical roles rather than user/department need that there will be a depreciation of service quality and responsiveness and less close integration with the departments who have traditionally had been staffed internally? Are there any plans to mitigate this issue?
  • 35 min Is there a software evangelist role? I see education and training related to teaching, but I don’t see a training, teaching for everyone else. A way to communicate with users without using up developer time.

  • 39 min With departments that are remote, (away from Campus) could a employee have more than role, like I do already, since our group is so small (3 people)?
  • 41 min Where do things like managing department O365 mail domains and lists and managing Google lists fall? Maintaning Manifests for departments? Where do things like helping people with setting up and connecting to vpns go? Who will request firewall rule changes that are unique to a particular department?

  • 43 min Without recruitment for roles outside of the director positions, how will it be determined where current staff fit in? Will there be an opportunity to express interest in areas outside of what we’re in now? If so, how do we do that?
  • 44 min Is there an expectation that the Helpdesk and User Support routinely operate in multiple departments?
  • 45 min Do you have a draft for what the departmental groupings will be? And if so, can you publish it?
  • 46 min Will transportation of equipment between buildings be standardized by SMPH (service van or similar), or will it remain S-passes and personal vehicles? For those that have service passes now, paid for by depts, will this be paid for by SMPH moving forward?

  • 48 min The direct data-centric positions appear to be spread across groups. but with no central Data group. Will there be a Data Governance/ Standards area?

  • 51 min How will expense reporting be handled? Will IITC pay for our mobile phones and mileage or local departments?
  • 52 min How will the new IT structure affect existing security concerns like IRBs around PID? Will existing Departments be required to amend their IRBs?
  • 53 min As we finalize groups and departments. How will inventory management of current and future assets be managed? Will mergers of groups result in regional campus location(s) for inventory storage, deployments, and MACs (Moves/Adds/Changes) of current and future equipment?

  • 55 min What happens with the departmental purchasing cards? Also, when people want to order things from their grants or for the department, who will do the quotes?
  • 56 min I’m sure each IT office has a ton of equipment (cables, old hardware, spare parts, etc). Will this all be going away in favor of hotel spaces for the “local IT pods”? Will there be one location local IT will go to if a specific cable or adapter is needed for something that may come up randomly? Or to store equipment?
  • 57 min Who will be responsible for sending old equipment to SWAP, especially the ones that require Property Control stickers. Who will be responsible for keeping track of inventory, especially with desktops, laptops, printers, etc.
  • 58 min Is setting up machines and inventory considered Support or Infrastructure?
  • 58 min To what level does SMPH IT plan to provide device support for personally-owned mobile phones, and are there any plans that health care component staff be required to enroll their device in an MDM in order to access campus services such as email?

  • 60 min Is there anything on the roadmap to update IT roles to the current industry standard?
